Leading the way in in the latest automation enabling you to secure and access the referencing and administration processes quickly and transparently and move in to your new home sooner.

When you have found your perfect property, you will need to complete the referencing and administration process Cobblestone Estates have partnered with Goodlord, who will carry out the referencing and tenancy administration, this is done online and includes electronic signing allowing you and any guarantors to provide the required information, to check and sign documents, view updates, download tenancy agreements from anywhere in the world. An audit is kept electronically of all activity ensuring transparency.

The tenancy processes

Once the referencing is completed successfully, all parties to the tenancy will need to sign the tenancy agreement, this can be done easily via e-signature using your Goodlord account.  All contracts and agreements can be downloaded for your own records directly from your account.

Move in monies

Once the tenancy is signed your move in monies will become due.

  • The agreed deposit should be paid
  • The first month’s rent should be paid

These monies must to in cleared funds before the tenancy can proceed to move in, so allow plenty of time for your payments to clear and remember weekends and bank holidays can delay payments.

You will then need to set up a standing order for your future monthly rent payments.  If we are managing your property this will be our bank account details, you will be provided with an invoice and a unique payment reference which must be used in every payment.  If your Landlord is self- managing, we will inform you of this and they will provide you with their payment information once you have moved in.

Deposit Protection Services

All residential tenancy deposits in the England and Wales must be protected under an approved deposit scheme.  We use Tenancy Deposit Service (TDS) Insured Scheme. The TDS are authorised by the government to protect deposits for tenancies in England and Wales and are the biggest provider of deposit protection in the UK.  The deposits are held securely in our ARLA approved client accounts and we hold the highest levels of client money protection as provided by ARLA, so you can be sure that you deposit is safe.

Moving in

Once the pre-tenancy stage is completed and you are ready to move into your new home.

Inventory

A well-prepared inventory and check-in report protects landlords and tenants alike, providing an accurate description of the condition and contents of a property at the start of a tenancy.

The condition of the property and its contents at the end of the tenancy is then compared back to this report in the form of a check-out report. The inventory clerk will also provide an opinion on whether any damage that has arisen during the tenancy is attributable to the tenants, to ‘fair wear and tear’ or to the landlord as required maintenance.

Normally an inventory of the property condition, furniture and fittings and effects will be prepared by an inventory clerk instructed by the agent prior to the tenancy commencing. The inventory is checked and agreed between the tenant and the landlord at the tenancy commencement.
